K-HAKI should collect only the information needed for a clear purpose and protect people from unnecessary exposure.
Website enquiries
The forms on this static website prepare a message in the visitor’s own email application. The website does not store the form submission in a public database. The email provider and the visitor’s device may retain copies.
Do not send passwords, PINs, complete identity numbers, intimate images, original evidence or information that could put someone at risk through a general enquiry.
Information K-HAKI may need
For an enquiry, this may include a name or preferred identifier, a safe reply method, a short description of the issue and any relevant deadline. A programme may need separate consent and safeguarding information. The reason should be explained before additional information is collected.
Public stories and photographs
Public communication should use approved images and remove unnecessary personal details. Attendance at an event does not prove that a person received a service or experienced the issue discussed. Sensitive case stories require separate, informed consent.
Access, correction and deletion
A person may ask what information K-HAKI holds about them, request correction of inaccurate information or ask for deletion where retention is not legally or operationally necessary. K-HAKI should verify the requester before releasing personal information.
Retention and sharing
Records should be kept only for an approved purpose and period. Access should be limited by role. Personal information should not be sold, used for unrelated campaigning or shared with a partner merely because the partner helped fund an activity.
Security limits
No communication method is completely risk-free. If a concern is sensitive, begin with minimal information and agree on a safer route before sharing documents.
